Terms and conditions

USA Photo Workshops reserves the right to cancel bookings, change assigned tour guides, prices, and tours being sold without prior notice. We reserve the right to change itineraries and/or schedules if deemed necessary because of road conditions, severe weather, or any other unforeseen circumstances.

Bookings can be confirmed before the start of the tour by sending us an email at usaphotoworkshops@gmail.com.

Payments Accepted

We accept payments through Venmo, Zelle, as well as Visa, MasterCard, American Express, and Discover cards using Stripe. We can also accept paper or electronic checks for US clients only.

Full payment or a deposit is required to secure your booking. Full payment is due 90 days before multi-day workshops unless otherwise specified. Please let us know if you want to avail yourself of our interest-free payment plans.

Be aware that there is a 3% service charge when using a credit card. Please feel free to contact us if you would like to discuss alternate payment options.

Booking Procedure

All booking requests will be processed within 48-72 hours. Please include the preferred dates, tour guides, and tour or custom itinerary requests. We will process booking requests in the order they were received.

Due to extremely high demand, not all tour guides and tour options may be available on your preferred dates.

A surcharge can be added during peak season for incidental fees, special booking requests, and preferred tour guide options. If the preferred tour and services are not available, a service representative will be in contact with you about alternative tour options.

All tours are done with USA Photo Workshops or if necessary, with one of our trusted tour operator partners.

Cancellation & Refund Policy – if you need to cancel

We know that plans can change, and unforeseen circumstances can happen. You need to advise us in writing via email usaphotoworkshops@gmail.com as soon as possible if you need to cancel your booking. Your cancelation is not official until you have received a return email confirmation acknowledging your cancelation.

Please be advised that our cancelation policy is different for tours and workshops. Refunds will be paid by the same method that the original payment was made.

Workshops

If you cancel and we are able to fill your spot on the workshop, you will receive a full refund minus a $300 USD fee. If you cancel and the workshop does not fill, cancellation requests and refunds will be processed according to the following:

  • More than 90 days from the start date of the workshop: Full refund minus $300 USD fee.
  • Less than 90 days: No refund – your funds will be held as a credit which can be transferred or used towards our other self-drive packages, tours, or photography workshops for up to 2 years from the date of cancelation.

*Please note that some of our workshops with partner companies/third parties may have non-refundable deposits, which will not be refunded or credited to you.

Cancellation & Refund Policy – if we cancel or reschedule

USA Photo Workshops reserves the right to reschedule or cancel workshops/tours due to low participant numbers, Force Majeure, weather conditions, or where the safety of our participants cannot be guaranteed.

We will do our best to reschedule the workshop/tour within two years of the originally scheduled date. If this happens, we will offer you the choice between:

  • Retaining your spot on the rescheduled workshop/tour;
  • Transferring to the same workshop/tour on a different date if there is availability; or
  • Canceling your spot on the rescheduled workshop: No refund – your funds will be held as credit which can be transferred or used towards our other photography workshops, self-drive packages, or tours for up to 2 years from the date of cancelation. In the improbable event that a workshop or tour is canceled, we will offer you the choice between:
  • Applying your funds towards a different workshop/tour; or
  • Receiving a full refund minus $300 USD fee and any non-refundable fees paid to third parties. USA Photo Workshops are not liable for travel expenses incurred to reach the workshop/tour destination or any other personal expenses incurred in preparing for/reaching their workshop or tour. For this reason and others, we require that you obtain Trip Cancelation & Travel Insurance after booking your trip with us. Proof of coverage is required 90 days before any workshops.

Photography Workshop Changes

USA Photo Workshops will make every effort to operate workshops as they have been advertised but reserves the right to make changes to published itineraries/schedules, prices, and guides without prior notice and without consulting participants. Such changes may be made at the discretion of USA Photo Workshops based on circumstances such as too few participants, logistical problems, illness, emergencies, adapting to weather/local conditions, or for any under circumstances. Participants have no right to any refund in the event of these changes.

Photography Workshop Accommodation Selection & Availability

Accommodation options on our photography workshops may include:

  • Double Occupancy where you share a room with your traveling companion,
  • Double Occupancy where you are paired with another workshop participant of the same gender,
  • Single Occupancy in your own room. Your accommodation selection is made when you book the workshop.

Solo Participants

Solo participants are welcome to select the Double Occupancy rate at the time of booking. If USA Photo Workshops is unable to pair you with a roommate of the same gender from the workshop group, we will notify you ahead of the workshop and request you to pay the supplementary cost for a Single Occupancy room.

Single Room Availability

On some photography workshops, Single Occupancy rooms may be limited. If this is the case, single rooms will be assigned on a first-booked, first-served basis. If you booked a photography workshop at the Single Occupancy rate and we were unable to provide you with a single room, we will notify you ahead of the workshop, place you into a Double Occupancy room paired with a workshop participant of the same gender, and refund you the difference.

Pricing Policy

Please note that prices listed on our website can change without prior notice. Surcharges and additional fees can be added during peak season for special requests, custom tours, preferred tour guide options, and other tour add-ons. If there are any additional fees, USA Photo Workshops will communicate these to the buyer prior to confirming any booking requests.

Taxes and Fees

All prices on the website include VAT, where applicable, and invoices are issued with VAT as well. However, prices do not include the 3% service charge when booking through Stripe.

Liability Waiver

All photography workshop and tour participants are required to complete a hold harmless liability waiver before the start of the tour.

Insurance

We advise all our clients to purchase comprehensive travel insurance before traveling to minimize potential personal loss during their trip. Travel insurance is required to participate in our photography workshops.

USA Photo Workshops will not be held liable for any loss, damage, injuries, illness, or death during your tour, photography workshop, self-drive, or any other services provided. We will not be held responsible for changes in tour schedules because of weather or other natural calamities.
